How Rollicious never misses an enquiry

Rollicious is a Vietnamese restaurant and food truck in Christchurch. Its website takes catering enquiries, contact messages, and customer feedback, but there was no single place to track them all. So we built one, an app that lives on the owner's phone.

Seconds
from website enquiry to a notification on the owner's phone
3 forms → 1 app
catering, contact, and feedback in one place
0
enquiries that can now slip through

The problem

Every enquiry from the Rollicious website, a catering job worth thousands, a quick question, a piece of feedback, arrived as a plain email in one busy inbox. There was no unified way to see everything that had come in, what was new, and what still needed a reply.

Before

Three different forms all landed as emails, mixed in with suppliers, invoices, and everything else in the inbox.

Before

No way to see at a glance which enquiries were new, which were replied to, and which still needed action.

Before

If an email got buried, there was no backup record of that enquiry anywhere else.

The solution: the Rollicious Hub

We built Rollicious its own private hub, a simple app where every website enquiry lands the moment a customer hits send. Here's what it does:

An app on the owner's phone

The hub installs straight to the phone's home screen like a normal app. No laptop, no new software to learn.

Why: checking enquiries should be as easy as checking messages.

Instant notifications

The owner gets notified on their phone seconds after a customer hits send, with a sound, just like a text message.

Why: a catering enquiry answered fast is a catering enquiry won.

Saved before anything else

Every enquiry is stored in a secure, private database first, before any email or notification goes out.

Why: even if everything else fails, the enquiry is never lost.

One tidy list

All three forms in a single list. Filter by type, search by name or message, mark as replied, archive what's done.

Why: at a glance, the owner knows exactly what still needs a reply.

Reply straight from the app

Tap reply on any enquiry, type, hit send. It goes out from the restaurant's own email address, signed off properly, with the customer's message quoted underneath. Sent replies stay visible under the enquiry.

Why: answering on the spot beats "I'll do it when I'm at the laptop".

Upcoming events tab

Catering enquiries with an event date today or later, sorted soonest first. Every catering enquiry also shows a date chip like "Fri 30 Oct · in 42 days".

Why: a booking months away should never hide at the bottom of an inbox.

Internal notes on every enquiry

A private notes box on each enquiry, quotes given, dietary details, follow-ups, visible only inside the hub.

Why: the details of a job live with the enquiry, not in someone's head.

Automatic customer replies

Every customer instantly receives a branded confirmation email, so they know their enquiry got through.

Why: customers who hear back straight away don't go looking elsewhere.

Automatic staff email backup

Every enquiry is still emailed automatically to the restaurant's own inbox, a familiar backup copy of everything.

Why: the inbox keeps working exactly as before, just no longer alone.

Weekly AI health check

Every Monday morning an AI agent checks the whole system, failed emails, unanswered enquiries, notification issues, and flags anything wrong.

Why: the system watches itself, so nobody has to.

Inside the hub

Real screens from the live app on the owner's phone, shown here with test enquiries.
